1. Who we are

This Privacy Policy explains how ANR Executive Consultants Inc (“ANR”, “we”, “us” or “our”) collects, uses, shares and protects personal information when you visit www.anrexecutives.com (the “Website”), submit an enquiry, or book a meeting with us. ANR is based in Kingston, New Jersey, USA, and supports businesses with employee health insurance and benefits, 401(k) and retirement benefits, payroll and HR services.

This policy covers the Website only. If you become an ANR client, your separate engagement agreement and any related notices also apply to how we handle information in delivering our services.

2. Information we collect

Information you give us

When you use our enquiry, consultation, proposal or partnership forms, email us, or call us, we may collect:

• Contact details: full name, business email address, phone number, job title, and preferred contact method.
• Business details: company name, company website, country/state, industry, number of employees or company size, current provider or arrangement, the service(s) you are interested in, and your expected timeline.
• Your message: the description of your business requirement and any other information you choose to share.
• Consent records: your consent to be contacted about your enquiry, and the date and time you gave it.
• Meeting details: if you book a meeting through Microsoft Bookings, your name, email address, phone number (if given) and the date and time you choose.

Please do not submit sensitive information through the Website, such as Social Security numbers, bank details, or health or medical information about you or your employees. We do not need it to respond to an enquiry.

Information collected automatically

• Technical data: IP address, browser type, device type, operating system, referring page, pages viewed and the date and time of your visit. This is collected through standard server logs for security and to keep the Website running.
• Cookies and analytics: with your consent, we use Google Analytics 4 to understand how visitors use the Website. Analytics cookies are not set until you accept them. See our Cookie Policy for details.

3. How we use your information

• To respond to your enquiry, prepare a proposal and follow up with you (we aim to respond within one business day).
• To schedule and hold meetings you book with us.
• To understand your business requirements and recommend suitable services.
• To run, secure, maintain and improve the Website, including preventing spam and misuse.
• To understand Website usage through analytics, where you have consented.
• To comply with legal obligations and to establish, exercise or defend legal claims.

We will not send you marketing emails unless you have asked to receive them or we are otherwise permitted by law. Every marketing email will include a way to unsubscribe.

4. How we share your information

We do not sell your personal information, and we do not share it for cross-context behavioural advertising. We share it only as follows:

• Service providers who process data on our behalf under contract. These include Amazon Web Services (website hosting), Microsoft (Microsoft 365 email and Microsoft Bookings), Google (Google Analytics, with your consent) and our website development and support provider.
• Insurance carriers, payroll, retirement plan and HR service providers, only when you ask us to obtain quotes or deliver services on your behalf, and only the information they need.
• Legal and safety reasons: where required by law, court order or a government authority, or to protect the rights, property or safety of ANR, our clients or others.
• Business transfers: as part of a merger, acquisition or sale of assets, with the recipient bound to protect your information in line with this policy.

5. How long we keep information

We keep enquiry and meeting information for as long as needed to respond and follow up. If you do not become a client, we delete or anonymise it after 12 months from our last contact, unless the law requires us to keep it longer. Client records are kept under the terms of the client engagement. Analytics data is kept for 14 months, the Google Analytics setting we will configure.

6. How we protect information

We use reasonable administrative, technical and physical safeguards. These include encrypted connections (HTTPS/SSL), access controls on the Website and email systems, and hosting on secure cloud infrastructure. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

7. Where information is processed

ANR is based in the United States, and your information is mainly stored and processed in the United States. Our service providers, including our website development and support provider in India, may access it from other countries. When this happens, we take reasonable steps to make sure your information stays protected in line with this policy and applicable law.

8. Your privacy rights and choices

Depending on where you live, including certain US states such as New Jersey and California, you may have the right to:

• know about and access the personal information we hold about you;
• correct inaccurate information;
• delete your information;
• receive a copy of your information in a portable format;
• opt out of the sale of personal information, targeted advertising or profiling (we do none of these); and
• withdraw your consent at any time, for example by changing your cookie preferences or asking us to stop contacting you.

To make a request, email info@anrexecutives.com with the subject line “Privacy Request”. We may need to verify your identity before acting on your request, and we will not discriminate against you for exercising your rights. 9. Children

The Website is intended for businesses and professionals. It is not directed at children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has given us information, please contact us and we will delete it.

10. Third-party links and tools

The Website may link to, or embed tools from, third parties such as Microsoft Bookings or partner websites. Their own privacy policies govern how they use your information. We encourage you to read them.

11. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page with its “Last updated” date. If we make significant changes, we will show a notice on the Website.
